Flight Arrangements

Flight Arrangements
Once Assigned to a Group

You will receive an email with a link to your flight itinerary once you have completed your online registration, are assigned to a group and your buy-in is paid in full at the conclusion of the campaign.  You will have 24 hours to respond with any concerns regarding your flight itinerary.  Once your airline tickets are issued, changes are subject to penalties and services fees, which will be your responsibility. Note: tickets are non-transferable and non-refundable.

Once your tickets are issued, you will receive an electronic ticket confirmation from Gavel International. It is important that you review all information provided, including the spelling of each passenger’s name, booked departure city and dates of travel. Please contact Gavel International immediately if there is anything that needs to be corrected. Seat assignments as well as any special seat requests will be submitted to the airlines; however, they are not guaranteed and may not appear on your itinerary.

Final Travel Documents and Information

Approximately 2-3 weeks prior to your departure, a packet of information will be mailed to you. If your mailing address or email address has changed since you registered, please contact the Incentive Travel department with your updated information.

Frequent Flyer Accounts

Please enter your frequent flyer account number(s) during registration or provide it to the Auto-Owners Insurance Travel Desk at Gavel International.  It will be added to the applicable airline reservation, however, please note that upgrades are not available with group air reservations.If you have a TSA pre-check or Global Entry number, enter the numbers in the Additional Information box in your registration. Including your frequent flyer number is not a request for a specific airline.  Group block air space is secured for best routing to the destination.

Travel Restrictions for Pregnant Passengers

Women who are pregnant should travel with a medical note from their physician stating the expected due date and medical fitness to travel. Women who will be 24 or more weeks pregnant during the Alaskan Cruise|Vancouver travel dates will not be permitted to travel due to the limited medical facilities aboard the cruise ship. Infants must be at least 6 months of age at time of departure in order to travel on the Alaskan Cruise.

Seat Upgrades

If you would like to upgrade your seats to an option other than coach/economy, you can arrange your own air travel and receive the air allowance. You will be reimbursed for the actual cost of coach/economy tickets, up to the maximum amount as indicated in the Make Your Own Arrangements section. Seat upgrades will not be reimbursed.

Airlines Used for Group Travel

We have found that commuter or connecting flights are often delayed and can cause missed connections. Therefore, we recommend you consider driving to a major gateway airport, if possible. Auto-Owners goal is to get you to your destination as efficiently and conveniently as possible.
