Cancellation & Traveler Change Policy

A-O Trips makes travel arrangements and purchases services in advance for each traveler. Because many trip components are prepaid, confirmed, ticketed, or otherwise non-refundable once arranged, cancellations and traveler changes may result in penalties.

Cancellations and Traveler Changes

  • Traveler cancellations (a traveler withdrawing from the trip) and complete trip cancellations (cancellation of all travel) may be subject to penalties, including the loss of amounts paid and/or additional charges based on costs already incurred.
  • Replacement travelers are not always an option and may be limited by timing, availability, travel partner rules, and program requirements.
  • When a replacement traveler is permitted, assigning a replacement does not automatically eliminate penalties. Costs may already be incurred or become non-recoverable before a replacement is confirmed, and certain charges may apply regardless of substitution.

Deadline

Once travel dates are confirmed, any changes made to your registration after the dates listed below (including transportation choice, travel dates, adding/changing travelers, or cancelling travel) could result in penalty fees.

  • Caribbean Cruise: After September 18, 2026
  • Costa Rica: After October 30, 2026

Penalties and Company Discretion

A-O Trips reserves the right to evaluate cancellations and traveler changes on a case-by-case basis. Penalties may vary based on timing, the nature of the change, and the terms and charges imposed by travel partners.

Penalties may include, but are not limited to, costs associated with:

  • A per-traveler travel planning fee paid by A-O Trips (currently $450 per traveler to Gavel International)
  • Airfare, which is often non-refundable once ticketed, even when included as part of the program
  • Resort or cruise related travel services, which may be subject to penalties or non-refundable terms based on vendor policies and timing

No Cash in Lieu of Provided Accommodations

As stated in the Travel Guide rules, no substitute arrangements, nor cash payments, can be made in lieu of accommodations furnished to you by the company.
